Absences

Track vacations, sick leave, and other time off

Record when team members are unavailable so the scheduler doesn't assign them work during those times.

Why Track Absences?

  • Scheduling accuracy - Scheduler skips unavailable team members
  • Workload planning - Know who's available when
  • Coverage - Ensure work gets done while people are out
  • Records - Historical tracking of time off

Accessing Absences

  1. Go to Team in the sidebar
  2. Click the Absences tab

Absence List

The absences view shows:

  • Team member name
  • Type of absence
  • Start and end dates
  • Duration

Filtering

Filter absences by:

  • Team member
  • Date range
  • Absence type

Adding an Absence

Create New Absence

  1. Click Add Absence
  2. Select the team member
  3. Choose absence type
  4. Set start and end dates
  5. Add notes (optional)
  6. Save

Absence Types

Date Selection

  • Single day: Same start and end date
  • Multiple days: Different start and end dates
  • Half days: If supported, select morning/afternoon

Effect on Scheduling

When an absence is recorded:

  1. Scheduler skips that team member for those dates
  2. Dashboard shows upcoming absences
  3. Work is redistributed to available team members

Already Scheduled Work

If work was already scheduled:

  • You'll need to reschedule manually
  • Or reset and re-run the scheduler

The dashboard shows who is out today:

  • Quick reference for the team
  • See coverage at a glance

Upcoming Absences

See what's coming up:

  • Plan ahead for coverage
  • No surprises

Editing Absences

To modify an absence:

  1. Find the absence in the list
  2. Click to edit
  3. Update dates or details
  4. Save

Deleting Absences

If an absence was entered incorrectly:

  1. Find the absence
  2. Click delete
  3. Confirm deletion

Note: Team member becomes available again for those dates.

Public Holidays

For company-wide holidays:

  1. Add an absence for each team member, OR
  2. Consider creating a "Holiday" schedule with those days off

Tip: Adding individual absences gives you flexibility if some people work holidays.

Absence Patterns

For recurring absences (e.g., every Friday off):

  • Use working schedules instead
  • Set Friday as non-working in their schedule
  • Or add individual absences for flexibility

  1. Record in advance - Enter planned vacation early
  2. Keep updated - Adjust if plans change
  3. Check before scheduling - Review absences before running scheduler
  4. Plan coverage - Ensure critical work is covered
  5. Use notes - Document reason or contact info if relevant

Q: What if I forget to add an absence? A: The scheduler might assign work. Add the absence and reschedule if needed.
