Working Schedules & Routines
Define working hours and daily routines for your team
Working schedules and routines define when team members are available and what recurring activities happen during their workday. The scheduler uses this information to create realistic plans.
Why This Matters
Without working schedules:
- Scheduler won't know when people are available
- Work might be scheduled outside normal hours
- Breaks and routines won't be accounted for
With working schedules and routines:
- Scheduler respects availability
- Breaks are blocked out automatically
- Daily routines (briefings, catch-ups) are protected
- Overtime is tracked correctly
Accessing Working Schedules
- Go to Team in the sidebar
- Click the Working Schedules tab
Creating a Working Schedule
Add New Schedule
- Click Add Working Schedule
- Give it a name (e.g., "Standard Full-Time", "Part-Time Morning")
- Configure days and times
- Save
Schedule Configuration
For each day of the week, set:

| End Time | When the work day ends |
Example: Standard Schedule

Multiple Schedules
Create different schedules for different needs:
- Full-Time - Standard 40-hour week
- Part-Time Morning - Morning shifts only
- Part-Time Afternoon - Afternoon shifts only
- Field Workers - Early start, early finish
- Office Staff - Standard office hours
Assigning Schedules to Team Members
After creating schedules:
- Go to Team → Members
- Edit a team member
- Select their working schedule
- Save
Important: Each team member can have one active schedule.
Default Schedule
Set a default schedule for new team members:
- Go to Working Schedules
- Click Set as Default on the preferred schedule
- New members will get this schedule automatically
Working Routines
Working Routines define recurring activities that happen during the workday. These are separate from the schedule itself and block out time for specific purposes.
Accessing Working Routines
- Go to Team in the sidebar
- Click the Working Routines tab
Types of Routines
| Type | Examples | Purpose |
|---|---|---|
| Break Routines | Lunch break, Breakfast break, Coffee break | Time off during the day - scheduler won't assign work |
| Work Routines | Daily briefing, Team catch-up, End-of-day wrap-up | Protected work time - scheduler won't schedule customer jobs |
Creating a Routine
- Click Add Routine
- Choose the type (Break or Work)
- Set the time and duration
- Select which days it applies to
- Assign to schedules or team members
- Save
Example Routines
Lunch Break (Break routine)
- Time: 12:00
- Duration: 30 minutes
- Days: Monday - Friday
Morning Briefing (Work routine)
- Time: 08:00
- Duration: 15 minutes
- Days: Monday - Friday
Friday Wrap-up (Work routine)
- Time: 15:30
- Duration: 30 minutes
- Days: Friday only
How Routines Affect Scheduling
- Break routines: Team members are unavailable - no work scheduled
- Work routines: Time is protected for internal activities - customer jobs scheduled around them
Editing Schedules & Routines
Changes affect all assigned team members:
- Click on the schedule or routine to edit
- Make your changes
- Save
Note: Changes apply to future scheduling. Already confirmed schedules are not affected.
Deleting Schedules
Before deleting:
- Reassign team members to another schedule
- A schedule with assigned members cannot be deleted
Best Practices
- Be realistic - Set actual working hours, not ideal ones
- Add breaks - Required by law in most places, keeps your team happy
- Protect important routines - Daily briefings ensure team alignment
- Account for travel - Start time should be when they can start traveling
- Create templates - Make schedules reusable across similar roles
- Review periodically - Update as business needs change
